Privacy policy

PadelLoop is a tool for planning and running padel tournaments. This policy explains what personal data we collect, why, and the rights you have. We keep data collection to a minimum and never sell your data.

PadelLoop is operated by Kjetil Sande, based in Haugesund, Norway. If you have any questions about this policy or want to exercise your rights, email hi@padelloop.app.

What we collect

Usage analytics. If you accept analytics cookies, we use Google Analytics (GA4) to understand how the site is used: pages viewed, rough location (country/region), device and browser type. Google Analytics only runs after you consent; if you decline, it is never loaded. Separately, and whatever you choose, we count each tournament that gets started so we know how much the tool is used. That count records no personal data and never identifies you.
Feedback. When you send feedback, we store your message, any contact details you choose to include, the page you were on and your browser’s user agent string, so we can read it, understand the context and follow up.
Reviews. When you submit a review, we store your rating, review text, the name and club/role you provide. Reviews are published only after we approve them. If you add your email, we use it only to reply to your review. It is never published.
Newsletter. If you sign up, we store your email address, which form on the site you signed up from, and your device and browser type. We send one email to confirm the sign-up, and only send occasional product updates once you have confirmed. Every email has an unsubscribe link.
Account and sign-in. An account is optional and only needed to save and reload your tournaments across devices. You sign in with an email link, a password, or your Google account; if you choose Google, Google shares your email address with us to create the account. We store your email and your saved tournaments, and you can delete them at any time from your saved tournaments page.
Tournament data. Player names, scores and settings you enter to run a tournament are stored in your browser. If you use the live hall/TV screen, the tournament (including player names and scores) is stored so it can be shown on the shared screen. If you are signed in, tournaments you run are also stored on your account so you can see your history, and you can delete them at any time on your saved tournaments page.
Setting up in your own words. If you describe the evening in your own words and our own reading in the browser isn’t enough, the text is sent to Anthropic to build the setup. See Setting up with AI below.

Why we can process it (legal basis)

Consent: analytics cookies and the newsletter. You can withdraw consent at any time.
Legitimate interest: handling feedback and reviews, and keeping the service secure and working.
Performance of a service: storing the tournament data needed to actually run your tournament, and building a setup from the text you ask us to read.

Who processes data for us

We use a small number of trusted providers who process data on our behalf under their own data-processing terms:

Netlify: website hosting and delivery.
Supabase: database for feedback, reviews, newsletter sign-ups, accounts and live hall-screen tournaments.
Google: usage analytics (only after consent), and sign-in with Google (only if you choose it).
Resend: sends the emails we write to you, such as a reply to your review or an invitation for your club.
Kit: sends the newsletter, including the email that confirms your sign-up, and handles unsubscribes.
Anthropic: reads the text when you set up a tournament in your own words and our own reading isn’t enough (see below).

Some of these providers may process data outside the EU/EEA. Where that happens, transfers rely on the appropriate safeguards (such as the EU Standard Contractual Clauses).

Setting up with AI

In the tournament setup you can describe the evening in your own words, typed, pasted or dictated (“Americano on three courts, 21 points. Ana, Leo, Mia …”). Using it is voluntary; you can always type the names in yourself.

Read in your browser first. A plain list of names, and text our own rules can read, never leaves your browser.
What is sent, and to whom. Otherwise the text you wrote, with the names in it, is sent to Anthropic (the company behind Claude), which acts as our data processor and turns it into a setup. The setup comes back to your screen, and you check it before anything is used.
Not stored by us.PadelLoop doesn’t store or log the text. To limit misuse we count requests per day against a one-way hash of your IP address that changes every day, never the address itself.
At Anthropic. Anthropic normally keeps API data for up to 30 days and does not use it to train its models. Data linked to a breach of its usage policies can be kept longer.
Transfer to the USA.Anthropic processes the text in the USA. The transfer relies on the EU Standard Contractual Clauses in Anthropic’s data processing terms.
Juniors. For junior events, write first names only.
Your own assistant.If you use your own AI assistant (ChatGPT, Claude, Gemini or another) to make a setup link, the names go only to that assistant, under its own terms. The link is read in your browser and doesn’t reach our servers.

Embedded content

Our padel world ranking pages show widgets from StudyPadel (www.studypadel.com) and country flags from flagcdn.com. When you open one of those pages, your browser contacts them directly, so they see your IP address. They set no cookies, and we share no other data with them. The widgets run in an isolated frame that cannot read anything else on our site.

Cookies

We remember your consent choice in your browser’s local storage, not in a cookie. When you pick a language in the tool, we also keep that choice in a small cookie (padelloop-lang), so pages we build on our server show the same language. It holds only the language code and expires after a year. Analytics cookies are only set if you accept them in the consent banner. We do not use advertising or cross-site tracking cookies.

Advertising

Some pages show a small, clearly labeled promotion for a padel-related service. Today this is simply a link we place ourselves. It sets no cookies and does no tracking or profiling of you. If we ever work with an advertising partner whose ads would track you, we will update this policy and ask for your consent first.

Ladder (club ladders)

Clubs can run a ladder on PadelLoop. The club signs its players up with their name and email address, so the data comes from the club and not from you. Each ladder has its own privacy page in the player's language, linked from the table and from every invitation. In short:

Public:the table, the results and the big screen are open to anyone with the link, and the club can show the table on its website. Teams are shown with the players' names. If you choose “Hide my surname”, only your first name is shown, everywhere. Players who haven't signed up yet are shown with their first name only.
Email: we use your address to send you your matches, results to confirm and the round letter, never advertising. You choose how much you get, and every email links to that choice.
Match chat:the four players in a match write in its chat. The club's organisers can also read it, so they can settle a disagreement.
Phone number: only stored if you agree that the opponents in your matches can see it. Only they see it, while you have a match against them. Withdraw your consent and the number is deleted.
Legal basis:the club organises the ladder and decides who is on the list; running the club's activity is the legitimate interest behind it. PadelLoop stores and sends on the club's behalf. The phone number is shared only with your consent.
Getting out:reply to the invitation or tell the club, and they take you off the list. You can also ask us to delete your data: your name and contact details are removed, and the matches already played stay in the table without your name, so your opponents' results don't change. How long we keep it

We keep personal data only as long as needed for the purpose it was collected: newsletter data until you unsubscribe, feedback and reviews for as long as they are useful to us, and analytics for a limited retention period in Google Analytics. Tournament data in your browser stays until you clear it; hall-screen tournaments stay in our database until we delete them, and you can ask us to remove one at any time by emailing hi@padelloop.app.

Your rights

Under the GDPR you can request access to your data, correction, deletion, a copy of it, or restriction of processing, and you can object to processing based on legitimate interest. To exercise any of these, email hi@padelloop.app. You also have the right to complain to the Norwegian Data Protection Authority (Datatilsynet).

Changes

We may update this policy as the product evolves. The date at the top shows when it was last changed.
